Terms of Service

These terms apply to SkillProof's business customers. Customer order forms or written agreements may include additional commercial terms.

When these terms apply

The person creating a SkillProof workspace confirms they are authorised to accept these Terms of Service and the Billing and Cancellation Policy for their organisation. SkillProof records the accepted version and time for the workspace.

Existing organisations keep their current plan, billing and records unless SkillProof agrees a change with them.

Use of SkillProof

SkillProof provides software for managing training records, competencies, assessments, evidence, appraisal records, CPD records, development actions, registrations, checks and compliance reporting.

Customers are responsible for the accuracy of the data they enter, the permissions they grant to users and the suitability of their compliance processes.

Accounts and access

Users must keep login details secure and only access records they are authorised to view or manage.

SkillProof may suspend access where necessary to protect the platform, prevent misuse, respond to non-payment or comply with legal obligations.

Acceptable use

Customers must not use SkillProof to upload unlawful content, malicious files, unnecessary sensitive data or material that infringes another party's rights.

Customers must not attempt to bypass access controls, test other tenants' data boundaries or interfere with the availability or security of the platform.

Consultancy access

A client Owner may approve named Consultancy users to access a limited part of the client organisation. The client controls the approved scope and can change or remove that access.

A Consultancy subscription pays for the multi-client portfolio and delegated access tools. It does not transfer client ownership, include the client's SkillProof plan or allow the Consultancy to approve its own access.

The client and Consultancy remain responsible for having an appropriate agreement and authority for the Consultancy's work.

Billing

Subscription billing, payment methods, invoices and payment processing are handled through Stripe. SkillProof does not store card numbers, CVV codes or full payment card details.

Plan prices, included capacity, paid capacity and feature entitlements are shown on the website or agreed separately with the customer. The accepted terms version for a workspace is recorded by SkillProof.

Same-interval upgrades and capacity increases may take effect immediately after Stripe shows the prorated charge. Downgrades, billing-interval changes and capacity reductions take effect at renewal without a refund or credit.

A customer may cancel a paid subscription at any time. Cancellation stops the next renewal, and the workspace remains available until the current billing period ends. Payments are non-refundable except where SkillProof confirms a billing error or applicable law requires otherwise.

Plan changes and retained records

A plan or capacity change does not automatically delete or deactivate staff, sites or historical records. A reduction can be refused where current active usage exceeds the proposed capacity.

If SkillProof agrees a future reduction in plan capacity or feature entitlement with an existing customer, existing records remain protected and any new limits are applied only through the agreed change process.

Enterprise plans, separately agreed services and written order forms may use different limits, notice periods or change rules.

Access after cancellation or non-payment

A standard paid workspace is normally retained for 90 days after paid access ends. During a restricted period, access may be limited to billing, reading and export before controlled deletion becomes eligible.

A failed payment normally has a seven-calendar-day grace period before write access is restricted. SkillProof may restrict access sooner where needed to prevent misuse, protect security or comply with law.

Deletion is not automatic at the first failed payment, cancellation or retention date. Any deletion remains subject to a recorded operational review, a final safety window and legal retention obligations.

Availability and changes

SkillProof aims to provide a reliable service using established cloud infrastructure. Features may be improved, updated or changed over time.

SkillProof does not claim ISO 27001, SOC 2 or Cyber Essentials certification unless those certifications are specifically obtained for SkillProof.
